The biggest difference is the data route
ReceGuard is built around a local boundary. OCR runs with Apple's Vision framework on your iPhone, and ReceGuard does not operate a server that stores your receipt images or extracted expense data. If you enable sync, the records use the private CloudKit database tied to your own Apple account.
Expensify's advantage comes from moving expenses into a connected workspace. Its product pages describe scanned receipts as stored in the cloud, attached to expenses, and available for reports, submission, and accounting workflows. That makes collaboration possible, but it is a different privacy model.
SmartScan is broader automation
Expensify deserves credit for automation. SmartScan reads the merchant, date, amount, and currency, can match receipts to card transactions, detect duplicates, and use policies or past behavior to categorize expenses. Expensify also supports receipt forwarding and web uploads. For a distributed team processing many expenses, those connections can save substantial time.
ReceGuard intentionally keeps the loop smaller: capture, review, categorize, add business purpose, and retain the evidence on your device. That adds a review step, but it also keeps you close to the record. If your priority is a clean personal archive rather than automated company spend management, less infrastructure can be a benefit.
Mileage: private log or connected expense
Both apps handle mileage, but the output is aimed at different destinations. ReceGuard stores a trip with date, distance, route description, business purpose, and related receipt context. Its optional GPS recorder starts only when you tell it to, calculates distance locally, and discards coordinate samples.
Expensify creates a distance expense. Its official materials describe address-to-address, GPS, odometer, and manual approaches, with rate calculations and supporting maps or documentation. That is stronger when mileage must enter an approval and reimbursement chain. ReceGuard is more direct when you need your own contemporaneous log.
Where Expensify is the better fit
Choose Expensify when receipts are one part of a larger company process. It is the stronger option for employee submissions, manager approvals, reimbursements, corporate cards, travel, multi-platform access, and accounting integrations. It also wins when several people need to see and act on the same expense.
Where ReceGuard is the better fit
Choose ReceGuard when you are organizing your own receipts and mileage on an iPhone and do not want receipt content sent to a vendor-operated processing server. It suits freelancers and sole proprietors who want searchable evidence, reminders, business-purpose notes, and structured exports without adopting a team expense platform.
